This position is responsible for performing a variety of reception, clerical, and support functions that will ensure timely and effective day-to-day operations and communications within the Cancer Center. This individual will be the primary resource for patients, cohorts and departmental needs on an on-going basis. This position must demonstrate a commitment of quality customer service to our patients, the public and fellow Associates.
Essential Functions & Responsibilities:
Interfaces with patients, family members, physicians, visitors, and other guests in an effective manner, presenting a positive public image for the department as well as setting a comfort level for the patients.
Greets all guests in a courteous and professional manner to assist them in ways that best meet their needs.
Registers patients who are scheduled for appointments to assist radiation therapist and nurses in a smooth transition from waiting to service access.
Registration is completed with a working knowledge of ARIA (internal computer program).
Schedules all patient appointments/procedures daily and provides reminder calls to patients.
Records patient cancellations and missed appointments.
Reschedules appointments and notifies the patient.
Monitors the reception area and keeps patients, family members, visitors and Associates informed of schedule adjustments.
Promptly notifies department Associates of waiting patients, family members, and other guests to ensure they are seen within a reasonable amount of time.
Notifies nursing when patients arrive needing immediate evaluation/attention.
Presents consulting patients with pre-appointment questionnaires, signature forms and receives their insurance cards to copy for both Mary Washington Hospital and Radiation Oncology Billing Specialists of Central Virginia.
Insurance information and demographics are entered ARIA/EPIC.
Reports are generated for use by physicians and others upon request.
Courteously answers all incoming phone calls.
After 12:00 pm, answers all incoming call for Stafford Radiation Oncology and Regional Cancer Center at Montross.
Screens, and transfers calls as needed to enhance cancer center communications.
Text physicians to take calls from their colleagues to ensure customer service and to address needs regarding patients’ urgent care.
Serves as a patient advocate for the patients’ varied needs.
Strives to provide comfort and patience to upset patients resulting from waits for treatment or to see the physician.
Responsible for constructing patient charts, inserting necessary forms, and designating needed patient information, requesting images on CD to be downloaded to our radiology department prior to patient arrival.
Assists in maintaining consistent data input to EPIC/ARIA.
Prepares and supplies refreshments for the waiting area.
Responsible for taking a weekly inventory and order of all refreshment supplies.
Actively participates in organizational and/or departmental committees as assigned.
Participates in educational programs to enhance professional growth and development.
Keeps abreast of current educational literature related to position.
Trains volunteers to provide tasks and services for the department.
Provides cross coverage for other office Associates upon absence.
Other duties as assigned.
Qualifications:
High School graduate or equivalent required.
Three (3) years of relevant experience required.
Ability to work with physicians, staff and patients in a calm, confidential and efficient manner.
Superior interpersonal, written and verbal communication skills preferred.
Advanced computer and word processing skills.
Ability to learn and master internal computer program systems (ARIA/EPIC, etc.).
Ability to process work in an organized, calm and efficient manner preferred.
Ability to analyze an objective, formulate a plan, and implement the plan without constant supervision and direction preferred.
Knowledge of medical terminology preferred
